1. New
members, namely Santanau, Krishnendu, Debalina and Somnathwere congratulated
by P.G.Banerjee (President) , Samir Chkaravarty (Treasurer) and all other
members of the old committee for being elected and joining the BRBLA executive
committee. Newly elected member, Mr. Kailash Deka and his wife Luku, could not
be present in this meeting, due to a scheduled visit to their daughter, out of
Baton Rouge city, on the day. Various points were discussed on handing over
responsibilities and new committee officially took charge. 2. Samir Chakravarty presented the Treasurers Report for his interim period and the year ending balances of the BRBLA bank account. He also expressed the difficulty he is facing and had faced prior to this meeting, in taking over the Bank Account, previously collected money and all other necessary documents from the past treasurer S.K. Kundu. He explained that since S.K.Kundu had decided not to continue his membership and decided also not to be present in the past Saraswati Puja day, to execute his responsibilities as treasurer; Samir Chakravarty had to do this job, in order to make the event successful. All written communications that were sent to S.K.Kundu, in this context, were read out to the members of the committee and the executive committee decided to firmly request S.K. Kundu, just once more, to return the accounts receipt book etc. that were not handed over on the day. It was also decided, that in the unfortunate event of any further refusal to this request, BRBLA will continue with a new receipt book and with the closing balance as of 17th November 2008. BRBLA will also write to IRS to change the Tax ID and Contact Address etc. from S.K. Kundu and transfer it over in the name of a suitable member of the committee. 3. Samir Chakravarty mentioned that the Saraswati Puja expenses and collections were duly audited by Anindya Podder and himself . He also mentioned, that inspite of repeated reminders from him in emails, the auditing for Durga Puja and Kali Puja accounts, could not be completed by the past treasurer S.K.Kundu. On the contrary, to comply his request and as a matter of courtesy, the audited account statement Saraswati Puja accounts was sent to S.K.Kundu, which he had received. 4. Samir Chkaravarty mentioned that the Bank Account was duly transferred in the name of the newly elected President, P.G.Banerjee and his name, as the newly elected treasurer of BRBLA. An email was sent in this regard to the past treasurer and also the joint account holder S.K. Kundu to respond urgently to facilitate this transfer, following the day of BRBLA election. In absence of any documents and/or communication available in time from him, the old account was closed and a new account was opened for BRBLA with the same bank and the entire balance was transferred by the bank to this new account. 5. Samir Chakravarty mentioned, that the current balance of this new check-in account of BRBLA with the Chase Bank, on the day, was close to $2400.00. ( a few transactions were pending at the time of this mention). 6. Samir Chakravarty mentioned, that any member is most welcome to request for any details of this transfer and see the BRBLA account/expenses documents available with him, with prior email request and at a mutually convenient time. 7. This entire matter of handing over of treasurers responsibility. for this year, was considered as unfortunate and undesirable by the members present. 8. The Current count of fully paid membership BRBLA was presented as 56 by Samir Chakarvarty. It is expected to go up by another 2 (responsibility SomnathRoy) plus 1 (responsibility Krishnendu Saha) plus 5 (responsibility Santanu Majumdar) plus 4 (responsibility Samir Chakravarty) plus 1 (Tapan Sarkar). The membership forms were handed over and it is expected to complete the formalities as early as possible. 9. Debalina Sengupta as the lead, with help from Tapan Sarkar, RajibMukherjee and SomnathRoy will research for selecting a new Durga Protima, to be purcahsed by BRBLA. Amitava Jana has kindly agreed to carry it over to Baton Rouge, while returning from one of his forthcoming visits to India. The purchase of a new Kali Protima will immediately follow. Debalina and tem will be in touch with the committee, especially Amitava, with the findings.. 10. A $120.00 budget was approved to Santanu Majumdar by the committee, to design and build a multi-purpose wooden storage box for Durga Protima. Santanu with his vast experience as a professional designer had come forward with a proposal to build a multi-purpose box to store, transport, illuminate, decorate and also as an alter for the Protima during the Pujas. 11. Samir Chakravarty is taking an initiative and requested for necessary help from SomnathRoy, Debalina Sengupta, Sona Podder, Santanu Majumdar and Tapan Sarkar to meet ICC officials and negotiate a new hall-rent lower than what is being currently charged to BRBLA, based on the the fact that more than 70% attendees of BRBLA functions, almost always are LSU full-time students. 12. Samir Chakravarty is taking another major initiative to acquire a Non-Profit status of BRBLA, which is pending for a long time. It was understood and was welcome by everybody that raising big funds and including quite a significant people of Baton Rouge as members of BRBLA will be possible if such a status can be acquired from IRS. Samir Chakravarty is working towards this goal and hopes to complete all formalities by August 31st 2008. A budget of $180 was approved to Samir Chakravarty for the necessary expenses for the mail-boxes etc. in this regard. 13. A budget of $50 was also approved for sundry expenses (Puja Items, Receipt Books, Note Books, Storage Boxes for Dry Goods etc) 14. Tapan Sarkar mentioned that a proposal came from New Orleans (Louisiana Bengali Cultural Association of New Orleans) for playing a friendly Cricket Match between LBCA and BRBLA, at Baton Rouge, during the coming spring break! Subsequently, Ashoke Dey and Swarnava Roy were requested to go ahead with the necessary arrangements as Captain and Vice-Captain of the to-be-formed BRBLA cricket team. The committee decided that all efforts will be made to see that the players are members of BRBLA as a preference, and a non-member player can only be taken as a last resort. BRBLA will host this match and will provide free lunch to playing student-members and playing guest students of New Orleans 15. The meeting ended with lively discussions on this Cricket Match, especially on the expected performance of the four mandatory 'senior' players from both the teams! . .

| 1. Changes in the Ex-Committee Structure: Following the
responsibilities being handed over by M. Sengupta, P.G.Banerjee has taken
over as the interim President and Tapan Sarkar will act as interim Secretary
till the next election on 16th Feb 2008. Ballari Cahtterjee has been included
into the ex-committee from the member-reserve pool Please note that the BRBLA Bank account with the Chase Bank, has accordingly been changed to the names of P. G. Banerjee (President) and S. Kundu (Treasurer) Next executive committee members for 2008-09, will be elected on Saraswati Puja day at 2:30 PM. Members are requested to renew their membership and also send nominations for the Ex-Committee portfolios (President, Secretary and Treasurer) and Ex-Committee members (Total 7 members plus 2 member-reserve pool, portfolios included). | 2. It was decided that BRBLA Saraswati Puja will be celebrated on 16th Feb 2008 at ICC, LSU.
Per 'Bengali Ponjika', the Saraswati Puja is on 11th February 2008.
Please note that ICC halls were not available on 9th Feb, which was another
possible date for celebrating the Puja here. BRBLA (Samir Chakravorty) has paid the advance and booked the ICC (hall adjacent to the Kitchen) for this event from 8AM to 4 PM on 16th Feb 3. Donation Rates were decided as follows: BRBLA Member Students: $ 5.00/ Non-Member Students $7.00/ BRBLA Member Non-Students $ 10.00/ Non-Members Non-Students $12.00, No Donations are required for children under twelve. Please note that the donations rates were fixed on the assumption that approximately 20/25 Non-Student Members and about 30/35 Students will attend the Saraswati Puja. Total Estimated Head Count ~ 55 Estimated budget: ~ $500.00 Breakups: Venue: $210.00 Puja and Prasad: $50.00 Flowers: $30.00, Food $120.00 (estexpenses on top of donated food items) Dry Goods $50.00 (estimated purchase in addition to stock-in-hand) and Decoration: $30.00 Some of the members paid their donations after the meeting. The remaining donations will be collected at the venue by Samir Chakarvorty on the Puja day. He will also encourage the non-members to become members explaining the benefit. (The rate of donations will be higher for non-members and they may not enjoy the other member-benefits that are coming up in near future) 4. Responsibilities taken-up on various gross work-items are listed below. It was realized that all work-items cannot be identified and it was also not necessary to identify each and every volunteer at the time of this meeting. It was expected that there will be willing workers, as always, right at the venue to manage the entire event successfully: 1. Hall Open/Transportation of Protima: Samir Chakravorty / Tapan Sarkar (8:00AM) 2. Decoration: Santanu Majumdar (8:00AM - 9:00 AM) 3. Puja by Rajib Mukherjee and SomnathRoy (Samir Chakravorty may guide as required) (9:00 Am onwards) 4. | 5. Purchasing of New Protima: Detail plan for the purchasing new
Durga Protima and Kali Protima will be taken up later by the executive committee 6. Notification to Members: Anindya Podder raised a concern about not getting the details of the changes in the portfolios made in the last years ex-committee. He was assured that proper attention will be given to notifications. 7. BRBLA website: From now on all announcements, minutes-of-the-meetings etc. will be posted at the BRBLA website brbla.org. Members are requested to return to the site more often for updates. An email will also be sent to all members, when a new and important item e.g. minutes of a meeting will be posted 8. Portable storage boxes cum alters for 'protima's: Santanu Majumdar will come out with a plan and work towards making it. It is estimated to cost around $60 to $70. for Saraswati protima. Tapan Sarkar will help Santanu. Flood Lights to illuminate the protima are expected to be included in the above cost estimate. It was understood that the work may not complete by the next Saraswati Puja i.e. 16th Feb 2008 but needs to be done before next Durga Puja. 9. Senior Members: Tapan Sarkar made a proposal, that in a way to recognize our 'senior' members, we may waive all donation charges from them. He wanted us to begin the process with our two members, namely Bela Sen and Rekha Banerjee. Samir Chkaravorty while appreciating this proposal, pointed out that we need to fix up a criterion for identifying the 'senior' members and it will also call for an amendment in our bylaws before we can implement. The proposal, he mentioned, can be taken up in future. 10. Appointment of Auditor of BRBLA accounts: Anindya Podder has been appointed (proposed by Tapan Sarkar and was unanimously accepted) for the purpose and will work with S.Kundu and with Samir Chakravorty/P.G. Banerjee (as needed) to complete the auditing for 2007-08 and declare the audited closing balance after Saraswati Puja. |
