1.
In the absence of Kailash Deka (out-of-town), Samir Chakravarty conducted
the meeting.
The only
freshman student present was welcomed to
introduced
themselves.

Tapan Sarkar reported that both idols of Durga and Kali were received
from Kolkata. The idol of
Durga was
slightly damaged but could be repaired before the scheduled Puja date with the
help
of Santanu
Majumdar. The idol of Kali was severely damaged and needed a complete
replacement. Tapan will coordinate the needful tasks.
3.
Samir Chakravarty reported that according to the agreement with Datta
Temple, the two-day
Durga Puja
celebration would take place in Sri Jayalakshmi Mata Bhavan, 6221 Equity Drive,
October 3,
2009 from 9:00 a.m. to 4:30 p.m.
Schedule for Friday: P.G. Banerjee will go to Tapan Sarkar’s home and pick
up the Durga idol
and
transport the idol in his van to
Sen will
do the decoration. Then, Samir Chakravarty will start Puja preparation with the
help of
Pravati
Chakraborty, Sreerupa Roy, Shilpi Banerjee, Nirmali Deka and Sahana Sen. Puja
starts
at 6:30
p.m. and is expected to be finished by 9:15 p.m. Pushpanjali and Prasad
distribution will
follow.
The dinner will be served at 9:45 p.m. followed by a nominal clean up. Everybody
will
leave the
premises latest by 10:30 p.m. The idol will stay overnight at the temple.
Schedule for Saturday: Samir Chakravarty will start Puja preparation at 9:00
a.m. with the help
of
Pravati Chakraborty, Sreerupa Roy,
Shilpi Banerjee, Nirmali Deka and Sahana Sen. Bhog,
prepared
at P.G. Banerjee’s residence, will be delivered at 9:30 a.m. Puja starts at 9:30
a.m. and
is
expected to be finished by 12:15 p.m. Pushpanjali and Prasad distribution will
follow. The
lunch will
be served at 1:00 p.m. A short cultural program will start at 2:30 p.m. The
premises
will be
cleaned and vacated latest by 4:30 p.m.

entire
cultural program will take approximately 90 minutes.

Puja celebration.

Samir Chakravarty reported that

celebration would take place in

October 17, 2009 from 5:00 p.m. to 10:00 p.m.

1.
Kailash Deka, conducted the meeting.
The
revised minutes of the first meeting was unanimously adopted by the EC after
making one
correction to item #9 under “progress”. The
scheduled date to celebrate Saraswati Puja is
January 23, 2010.
2.
The ex-Treasurer Samir Chakravarty reported:
Nakul Maiti, Kailash Deka and Samir Chakravarty met
in the A.M. and were successful in
opening a new BRBLA Club account with Campus Federal
located on
problems presented by the Bank official. Chase Bank
Cashier’s check in the amount of $2,610.99,
the entire proceeds from the closure of the old
Chase Bank account (as of 7/30/09), was deposited
to the new BRBLA account. Chase Bank did not charge
any additional monthly fee for July,
2009. The cash on hand balance of $65.70 was handed
over by Samir Chakravarty to Nakul Maiti
who acknowledged the receipt of this petty cash as
well as twenty-two new checks issued by
Campus Federal, two receipt books (#5 & #6), two
files containing Chase Bank statements and
BRBLA financial statements for the year 2008-2009
and one expenditure record book. The
Counterfoils of the used Chase Bank checks were
retained by Samir Chakravarty for future
review by the Auditors. Nakul Maiti stated that the
account’s physical address was the same as
his residential address and hence all bank
statements would come to him. Kailash Deka pointed
out that as he worked out of town, lot of the checks
written by the Treasurer would not bear his
signature.
The EC accepted his position with the understanding that he would cosign the
checks
whenever he was in town. Samir Chakravarty said that
the necessary modification to the By-
Laws would be made. From this day forward, Nakul
Maiti will shoulder the full responsibility of
BRBLA’s Treasurer.
3.
Tapan Sarkar presented a fresh BRBLA Asset list without the
“Puja utencils” details. Tapan
Sarkar was asked to resubmit the list containing the
details of “Major Puja utencils”. The EC
approved the rental of some of the assets strictly
to members upon request. Rental prices were
discussed which would be noted on the “Final Asset
list” as suggested by Priyo Banerjee and such
rental would be a source of income to BRBLA. As
regards the conditions of current assets, Tapan
Sarkar reported that the idol of Durga was severely
damaged and even though Santanu
Majumdar admirably tried to restore it, it would be
best to retire it. The “Kali pot” was fading
and so was the idol of Saraswati. He also reported
that the two propane gas cylinders were empty
and that he owed it to BRBLA to fill up one. Tapan
suggested that being stale, some small
quantities of previously purchased spices be thrown
away. One of the two flood lights needs a new
bulb.
4.
Samir Chakravarty reported that the total number of current
members was 40 which included
some honorary members and three senior members who
were exempted from donating money at
any BRBLA events. He asked for assistance in
obtaining Rohit Ghosh’s contact phone number
and home address as he did not respond to repeated
requests to furnish this information.
Progress:
6 individuals joined BRBLA as new members. Let us
all welcome Pervinder and
Madhumita Banga, Nirmalya Banerjee, Shilpi Banerjee,
Mridul and Maya Kana Majumdar.
5. The
work of making both Durga and Kali idols was in progress. According to Tapan’s
friend in
Kolkata, the Kali and Durga idols would be ready by
August 24, 2009 and by first week in
September, 2009 respectively. Tapan will upload some
progressive pictures of the idols on the
Web site. As proposed by Priyo Gopal Banerjee, it
was decided to pay the air freight to bring
both idols from Kolkata to
cheaper. To replace the much depleted BRBLA funds
money will be raised through special
donations from members for these two idols as well
as for a new idol of Saraswati to be
purchased in the near future as unanimously approved
by the EC. Samir Chakravarty proposed
that an immediate advance of $500.00 be made to
Tapan Sarkar to cover the progressive
payments for the two idols in making and the
remaining amount be paid to him after the ready
idols are shipped to
with all necessary invoices and/or receipts to cover
the entire cost before the final payment is
made to him as was unanimously accepted by the EC.
Progress:
Both idols have been made and shipped to
on ground transport from
September 8, 2009.
6.
Samir Chakravarty reported that according to the
agreement between Tapan Sarkar and Datta
3, 2009. A vote of thanks was passed on to Tapan for
his untiring efforts. Samir proposed that as
a matter of prudence, two or three members of the EC
ought to meet with the representative of
involved issues and terms. A deposit of $200.00
could then be made for the venue. Tapan will
arrange for this meeting.
7.
As proposed by Samir Chakravarty, it was unanimously
decided to send formal invitations for
all BRBLA future events to members only after he
pointed out that practical difficulties were
faced in trying to keep up with the non-members’
contact information, their intent to join or not
to join a particular BRBLA event making it
impossible to do a proper headcount besides facing
some undue and unjustified criticism from them. The
EC adopted the policy of entertaining non-
members only as guests of existing members provided
the minimum expected donation is met in
advance of the event. Members should encourage all
non-member guests to become members of
BRBLA. Members can also bring their visiting family
members and friends as personal guests
after paying the minimum expected donations in
advance. Kailash Deka wanted some posters be
made so non-members could contact BRBLA. Samir
pointed out that somebody responding to
our displayed posters will definitely be encouraged
to become a member first. A non–member
showing up at the door will be appropriately
welcomed. As a courtesy, all non-members shall be
asked if they would like to apply the first five
dollars of their current donation towards the
annual BRBLA membership fee. Sharbari Dey’s proposal
of distributing invitation cards to
members of
considered as inviting non-members and would go
against the unanimous decision just taken by
the EC not to do so. However, a notification of
BRBLA Durga Puja will be allowed in the Datta
expected to be present on Friday night and hence
dinner would be arranged for fifty people only.
However, Saturday’s lunch will be served to a
maximum of one hundred people as an unknown
number of

will arrange for their display. He already has
uploaded the poster on BRBLA Web site.

9. Sharbari
Dey presented the following menu for Durga Puja:

Saturday’s lunch will include Khichuri, Papad.

The menu will be finalized at the General Body
Meeting.
Tapan Sarkar pointed out that Santanu Majumdar is
expected to
contribute about $200.00 for
Kali
Puja dinner. Menu details will be worked out later and presented to the General
Body. An
effort will be made to arrange for a sit-down dinner
at the “

program for Durga Puja. He will
work out all details to present to the General Body.
11.
Samir Chakravarty stated that some changes to the By-Laws
are necessary. The first meeting of
the sub-committee will be held in September, 2009 at
Kailash Deka’s convenience.

2010 Saraswati Puja:

Chakravarty reported that Saraswati Puja will be held on Saturday, January 23,
2010 at
the
Puja on October 3, 2009, will now be accounted for
Saraswati Puja on January 23, 2010.
13.
Membership drive:
Tapan Sarkar will contact Sreerupa Roy, Pranab and
Mala Mukherjee to renew their
memberships. Sharbari Dey will contact Bratati

Minutes:
1.
The Executive Committee is (hereinafter called “EC”
consists of seven elected Committee
Members including the Past President plus two
members in the reserve pool.
2.
On Behalf of
Priyo Gopal Banerjee, Samir Chakravarty welcomed the
new President and
his team and requested him to conduct the meeting.
3.
Kailash Deka thanked everybody for having charged him with
the responsibility of being BRBLA
President but expressed the drawback as a result of
his job related transfer to
indefinite period.
However he vowed his full cooperation and
participation when he returns to
Baton Rouge every two to three weeks to spend the
weekend.
He also expressed his sincere hope
that every member works in unison towards the common
goals of BRBLA. Kailash was assured
that his heritage as a non-Bengali is most welcome
to BRBLA and is most certainly not a dividing
factor.
4.
The ex-Treasurer Samir Chakravarty reported:
BRBLA started the year on February 9, 2008 with an
Initial Bank Balance of
$2,435.04. After
celebrating and/or performing Saraswat puja, Durga
puja, Kali Puja and cricket match (with
LBCA) in 2008 and Saraswati puja in 2009, the ending
balance as of March 15, 2009 was
$2,971.69 (Chase
Bank Account holding $2,899.99, cash on hand $55.70
and un-deposited checks
worth $16.00). A detailed financial statement duly
audited by Sahana Sen dated March 15, 2009
was distributed to all Committee members present.
5.
Samir also reported:
Subsequent to March 15, 2009 till date, $55.00 was
collected as Membership dues,
$205.00 was
paid for hall rental to celebrate Durga Puja 2009
and another $105.00
was paid for hall rental to
celebrate Kali Puja 2009 to
damage deposit to cover the two celebrations was
handed to BREC,
check is not to be cashed and is returnable to BRBLA
at the end of the two events.
Not
counting
the damage deposit check but counting $40.00 charged
to BRBLA Account by Chase Bank
(Service charge of
$10.00 per month starting from March, 2009 to June
2009), the ending
balance as of July 25, 2009 Is $2,676.69 (Chase
Bank Account holding $2,610.99, cash on hand
$65.70). A detailed un-audited financial statement
dated July 25, 2009 was distributed to all
Committee members present.
6.
Chase Bank may charge another $10.00 towards service
charges for July, 2009. To prevent
further service charges from August, 2009 onwards,
it was decided to close Chase Bank account
before the end this month (July). A new account free
of
service charges will be opened in a
different Bank when Kailash is in town. Kailash will
inform if August 8th or 15th will be suitable
for him to sign up for this new account. The
signature of both President (Kailash) and Treasurer
(Nakul) will be required to open a new account.
Meanwhile, Samir will hold the current balance
(after withdrawal from Chase Bank) in his custody.
Nakul will function as the new Treasurer
when the new account is opened.
Progress :
BRBLA account with Chase bank was closed on 07/30/09
withdrawing the entire
balance of $2,610.99. Samir is holding Chase check
#9198401347 dated 07/30/2009 made out to
BRBLA for $2,610.99. Samir is also holding a cash on
hand balance of $65.70 as stated above.
7.
Past Secretary’s Report:
Tapan Sarkar distributed an unfinished list of
BRBLA assets.
With the help of Samir, Tapan
will complete the list on or before August 15th.
Tapan reported that all three idols on hand are in
very bad shape. Recently, Santanu Majumdar repaired
the Saraswati idol.
He will also repair the
Durga idol before leaving
Shape.
It was realized that the idols/images of all three
Goddesses need be replaced at our
soonest.
Tapan reported that the total membership count last
year was 61. Samir stated that the
current membership count is approximately 35. Tapan
and Samir will compile an up-to-date
membership list on or before August 15th 2009.
Tapan and Samir will collaborate to file for a non-
profit status for BRBLA as soon as possible.
Progress.: The actual member count is 40 including
some honorary members.

Tapan Sarkar explained that an elaborate effort was made to
purchase a five year old Durga Idol
from Bengali organization of
was abandoned as the cost of transportation from Long
Island to
At the recommendation of Tapan and as proposed by Samir
(seconded by Tapan), it was
unanimously decided to spend $900.00 to $1,000.00 from
BRBLA funds towards purchase of a
brand new Durga Idol (3’x3’) imported from Kolkata. As per
Tapan’s estimate, this fund will be
enough to purchase a colorful Protima made from “shola” and
transport to
or like. It was pointed out that last year, a fund of
$333.00 was raised towards the purchase of a
new Durga Idol. As per the Committee decision, Tapan will
immediately place the order for a new
Durga
Idol through his friend in Kolkata.
Progress: Tapan has placed order for the new idol through
his friend in Kolkata. Hopefully, we
will receive this idol before our celebration date.

2009
Durga Puja Celebration:
Samir reported that BREC hall (
from 8:00 AM to 5:00 PM to celebrate Durga Puja. This hall
was unavailable on September 26,
2009 due to prior booking by others. A Sub-Committee was
formed with Tapan, Sharbari and
Kushal to celebrate Durga Puja. This Sub-Committee will
meet as convenient and do its
homework before calling a BRBLA General Body meeting
through the Secretary to work out the
details for 2009 Durga Puja.
Progress: The 2009 Durga Puja will be celebrated over a
period of two days in a different venue.
Please read item #13 below for the latest development. The
October 3rd reservation with BREC
has been rescheduled on January 23, 2009 for celebration of
Saraswati Puja.

Kali Idol Purchase:
Tapan reported that purchase of a Kali Idol from Kolkata
will cost about $200.00 including
packaging. The uncertain transportation cost may be in
excess of $300.00 which can be saved if a
Person like Tapan’s friend brings the Idol as his personal
luggage from Kolkata.
Tapan will
investigate further and report to the Committee ASAP before
any decision can be made.

2009 Kali Puja Celebration:
Samir reported that BREC hall (
2009 from 5:00 PM to 10:00 PM to celebrate Kali Puja.
The hall must positively be vacated on or
before 10:00 PM as no further extension of time is
available.
A Sub-Committee was formed with
Tapan, Sharbari and Kushal to celebrate Kali Puja. This
Sub-Committee will meet as convenient
and do its homework before calling a BRBLA General Body
meeting through the Secretary to
work out the details for 2009 Kali Puja.
A common General Body meeting to celebrate both
Durga and Kali Puja will be called in the first week of
September, 2009.

Saraswati Idol replacement:
It was realized that due to its current condition, the Idol
of Saraswati may have to be replaced
very
soon.
13.
Durga Puja lasting two days:
Some members raised the question of celebrating Durga Puja
over two days leaving the Idol
overnight at the venue after the end of first day‘s puja.
This is not possible at BREC park which
will also not refund the deposit already made to them.
Tapan,
Sonhita, Santanu, Nakul and
Sumana showed a lot of enthusiasm to make this happen and
took it upon themselves to further
explore the possibility.
Progress:
Thanks to the enthusiastic efforts of Tapan,
negotiations with
concluded. According to the terms, 2009 Durga Puja will be
celebrated in the evening of Friday,
October 2nd and the morning of Saturday, October 3, 2009.
Further details will be communicated
to all members after we had a chance to discuss the latest
developments in our next Executive
Committee meeting.
14.
Publicize BRBLA events:
It was decided to create BRBLA posters to be
displayed at various public locations such as Indian
Grocery Stores,
posters.
15.
Changing Event related minimum donation and membership
dues:
Some preliminary discussions were held to change the
collection amount and procedures. Detailed
considerations will be made and decisions taken in the
General Body Meeting to be held in
September, 2009..
16.
By-Law changes:
A Sub-Committee was formed with Kailash, Tapan and Samir to
recommend the necessary
changes to the By-Laws for further streamlining BRBLA
operations.
